Automating Business Critical Mail for a leading Customer Communications Agency

challenge:

TriPartum is a leading Customer Communications agency, who work with a wide variety of Financial Institutions, Councils & Housing Associations.  The broad spectrum of their client profile was reflected in the communications that their clients produced. Some clients required variable statement booklets, some required letters and others a combination of both, all with different sizes and orientations.

These varied communications had been built on over many years and many profiles had some uniqueness due to historical print supplier requirements. This meant that each job needed manual intervention from bakergoodchild which attracted a data-processing fee and additional processing time in the schedule.

solution:

Working closely with TriPartum; bakergoodchild’s in house development team agreed a uniform index format that was suitable for bakergoodchild’s Automated Data Processing System (ADPS). TriPartum then conducted a large standardisation process, to ensure the print files, indexes, reconciliation reports, naming conventions and upload file structures were presented in a uniform fashion for each job regardless of brand or format.

Once this process had been completed, bakergoodchild constructed a bespoke automation system able to process their print jobs on demand. This enabled bakergoodchild to process all variants of communications in a single, fully-automated data processing system.

result:

As a result of the automation bakergoodchild no longer needed to treat each communication individually. This saved the client money but most importantly the time taken to process these jobs. With this additional time saving, TriPartum now have more time to focus on other important business critical functions. The time saving has also shortened the turnaround time for each communication, meaning all parties are able to handle an increase in volume at peak times throughout the financial year.
