CRiSP solution
Allowing users to select the most cost-effective mail carrier for overseas mailing campaigns.
solution overview
The CRISP solution (Cost and Routing for International Services – Postal) has been built by bakergoodchild’s developers and is an in-house solution that allows users to select the most cost-effective mail carrier for overseas mailing campaigns.
This, in turn, ensures our clients are utilising the best cost and most reliable mailing companies in the marketplace.
why we use CRISP?
CRISP provides a simple to use, cost effective solution for our clients overseas mailing campaigns:
It is also a powerful in-house management tool that has automated a number of manual processes for the bakergoodchild team. Manual tasks such as updating client tariffs and quoting sheets in Excel, manually creating routing, PPI lists and tray card creation are all now done by one user in a matter of minutes.
- Overseas carrier tariff upload/updates
- Live job routing and cost selection
- Vendor automated manifest creation
- PPI allocation to each country
- Carrier tray card and manifest creation
- Quotation function
how we process work
If a consignment is shown in red, then nothing has been done with it yet:
A member of the bakergoodchild postage team will then load the mailing profile within CRISP, enter the pack parameters (i.e. correct format/dimensions, weight and mailing date) and then click on the calculate button.
The CRISP system will then automatically select the most cost-effective mailing solution utilising each carrier within the solution.
The user can then create the ‘cage card’ that our production team prints out and puts within the relevant mail packs. When the mailing has been completed, it is passed immediately to our despatch team.
When you view the menu again and click refresh, you will now see that the line status has been set to green to signify that the shipment has been set live.
Another function of CRISP, which is crucial to the process, is the allocation of the correct Postage Paid Impression (PPI) to each pack. When the mailing is set to live in CRISP, it communicates with the Datapipe and transfers the PPI allocation per country/carrier. This is then saved into the inkjet or laser folder against the relevant client/job folder and used by Production when required (i.e. when items are being printed).
The cage card also shows the correct PPI to use on the items, which acts as a visual aid for the Production team if they need to ‘sanity check’ at any point.
When the completed mailing is passed to the Despatch team by Production, the pack weight is checked again, and if it differs from the weight used in CRISP, which was used to determine the routing, the user will correct the weight.
This ensures that even though the same selected mail carrier has to be used when the vendor manifest is being created in CRISP, it contains not only the correct quantity per destination but also the correct total weight and the correct cost. This is crucial, as this is the information on which we will be invoiced. The costs in CRISP will also automatically update to reflect the change in pack weight.
quoting functionality in CRISP
When you create a new quotation, you can either upload the country breakdown using a CSV file or manually add the country. In this instance, the counts have been added manually:
…and then provides the most cost-effective solution. In this case, it was a one-vendor solution, but some profiles will provide a multi-vendor solution.
As with the live solution, the user has the ability to view the CRISP recommended solution and change routings if it makes commercial sense, both from a postage base cost and Production cost perspective, to reduce the number of carriers being utilised.
Once created, the Quotation list is refreshed so that the Quotation can be referenced back to as and when required.
